Who this policy covers

TEAM™ is an educational reference and community app for approved TEAM™ students and practitioners. This policy describes version 11.0 and later, including information brought forward from earlier versions, and explains how we handle access, learning resources, community discussions, cases and notifications.

Signing in and getting access

When you continue with Apple or Google, we receive an identifier for that sign-in profile and the name and email address the provider makes available. Apple may provide a private relay email address if you choose Hide My Email. We do not receive your Apple or Google password.

We use those details to review access requests, link approved profiles, maintain your session and let administrators manage access. A submitted profile must be approved before it can enter the app. You may delete a submitted profile from the approval screen.

Your profile and community content

We store your display name, optional profile photo, and the discussions, replies, cases and photos you submit. Content you publish is shared with approved members and administrators. Your display name and profile photo may appear beside your contributions.

Include only material you are authorised to share. Remove patient names, identifying details and identifying information within photos. Case discussions can contain health information even when names have been removed. Members may save or copy content they can view; deleting a profile cannot remove copies held by other members.

Private notes and drafts held on your device remain on that device unless you choose to share or upload them. Submitted formula notes and uploaded attachments are stored by the app’s server according to their sharing status.

Notifications and activity

If you allow phone notifications, we register a device notification token and your notification preference. We store read and unread activity so that notification counts can update and clear when you read the relevant content.

We use Apple Push Notification service on iPhone and Firebase Cloud Messaging on Android. Community alerts use generic wording rather than putting case descriptions or medical discussion text on the lock screen. You can change notifications in the app and in your phone’s settings.

How we use information

We use information to provide approved access, display educational resources and member contributions, deliver notifications, investigate reports, prevent abuse, support members and protect the service. We also keep technical records needed to operate and secure the service, such as request and error logs.

The new app does not require a paid app subscription. Earlier versions also collected student numbers, phone numbers and purchase information. Records needed to manage those accounts and past purchases may remain until removed through account deletion or another applicable retention requirement. Apple and Google hold their own purchase records under their policies.

Service providers and international processing

Apple and Google process sign-in information under their own policies. Apple and Google also process the information necessary to deliver their notification services. Our hosting provider stores and processes the server-side app information on our behalf. These services may process information outside Australia, including in the United States and other countries where they operate. Their published privacy information describes their international processing: Apple, Google and Hostinger. Contact us for information about the hosting locations applicable to your app information.

We disclose information where needed to provide the service, act on your request, comply with law, or protect members and the service. The app’s current sign-in and community features do not use advertising tracking.

Retention and account deletion

In version 11.0 and later, you can request account deletion inside the app through Profile → Account options → Delete account. Deletion removes the app profile, sign-in links, active sessions, notification registrations, profile photos and private account records handled by that process. It also initiates revocation of the app’s Apple sign-in authorisation where applicable. It does not delete your Apple or Google account. If you use an earlier version or cannot access the deletion option, email us to request deletion.

Published contributions and their photos are retained under “Deleted member”, as explained by the app’s deletion confirmation. Names or other identifying details written inside a contribution or included in a photo are not automatically rewritten. Contact us if a contribution requires removal or further de-identification.

The app takes daily encrypted recovery backups. Scheduled recovery copies managed for the new app are retained for no more than 30 days. Ordinary app sign-in and access logs are also subject to a maximum 30-day retention schedule. Security log contents are excluded from the scheduled database backups where those logs are not needed for recovery.

A deleted profile may remain in a protected recovery copy until that copy expires. Before a backup is put back into active service, subsequent changes and account deletions must be reapplied and verified. Restored sessions and notification registrations are removed so they cannot silently become active again.

Approval and moderation records may be retained as needed to manage access and published contributions. Records that must be kept for a specific legal obligation are handled separately from ordinary app logs and rolling backups. Contact us for help with records from an earlier version or information held by an identity, payment or hosting provider.

Access, correction and privacy concerns

You can update your display name and profile photo in the app. Sign-in email and identity details are managed through Apple or Google; please contact us if a linked profile needs help. To request access to information, correction, removal of identifying content, or help with a privacy concern, email info@traditionaleastasianmedicine.com. We may need to verify your identity before acting.

Privacy complaints

Send privacy complaints to the contact email above, with enough information for us to understand the concern. We will review the complaint, investigate relevant app records and explain the outcome and next steps. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner.

Children and changes to this policy

TEAM™ is intended for adult students and practitioners, and is not directed to children. Contact us if you believe a child has submitted personal information.

We will update the public policy when practices change and provide any notice required for a material change. The effective date is shown above.
